APA 7 Referencing Guide for Australian Students: Quick Examples and Common Errors

APA 7 referencing is an author–date system from the American Psychological Association. It uses a short in-text citation, such as (Taylor, 2023), and a matching reference list entry at the end of your assignment. Most Australian universities use APA 7 for nursing, management, marketing, education and psychology assessments.

This guide gives you quick examples and the most common mistakes that cost marks. Always check your unit outline too, because some lecturers adjust the rules.

Quick answer (bookmark this):

  • Cite the author and year in your text: (Taylor, 2023)

  • Use "et al." from the first citation when a source has three or more authors

  • List every source alphabetically in a reference list with a 0.5-inch hanging indent

  • Use sentence case for article and book titles

  • Add the DOI as a full link, and leave out "Retrieved from" and the publisher's city

What Is APA 7 Referencing?

APA 7 referencing is the system defined in the Publication Manual of the American Psychological Association (7th edition, 2020). It has two parts that must always match: in-text citations and a reference list. Every source you cite in your writing must appear in the reference list, and every reference list entry must be cited in your text.

Why Australian Universities Use APA 7

APA 7 is clear, consistent and easy to check. Many Australian universities now prefer it over the many local versions of Harvard, which vary from one institution to the next. If you're studying nursing, management or marketing, you will probably use APA for most of your assessments.

APA 7 In-Text Citations: Quick Examples

An APA 7 in-text citation is a brief note in your sentence that points to the full reference at the end. It has two forms: parenthetical, where the author and year sit in brackets, and narrative, where the author's name is part of your sentence.

In-Text Citation Cheat Sheet

Source type

Parenthetical

Narrative

One author

(Taylor, 2023)

Two authors

(Nguyen & Taylor, 2022)

Nguyen and Taylor (2022)

Three or more

(Brown et al., 2021)

Brown et al. (2021)

Group author

(Australian Bureau of Statistics [ABS], 2023)

Australian Bureau of Statistics (ABS, 2023)

No date

(Wilson, n.d.)

Wilson (n.d.)

Secondary source

(Smith, 2010, as cited in Jones, 2022)

Smith (2010, as cited in Jones, 2022)

Multiple sources

(Brown et al., 2021; Taylor, 2023)

n/a

After the first citation of a group author, use the abbreviation only: (ABS, 2023).

Direct Quotes and Paraphrasing

A direct quote needs a page number: (Lee, 2020, p. 45). For a page range, use "pp." with an en dash: (Lee, 2020, pp. 45–46). If the source has no page numbers, use a paragraph number such as (Lee, 2020, para. 4).

Paraphrased ideas still need an author and year. Page numbers are optional, but your lecturer may ask for them. A paraphrase without a citation is plagiarism, and a Turnitin report can flag text that is too close to the original.

APA 7 Reference List Examples

An APA 7 reference list is an alphabetical list, by first author's surname, of every source cited in your assignment. It starts on a new page with the centred, bold heading References. Every entry uses a hanging indent, which means the first line sits at the margin and later lines are indented 0.5 inches.

How to Build a Reference in 4 Steps

  1. Identify the elements: author, date, title and source (journal, publisher or website).

  2. Choose the right template for the source type (examples below).

  3. Apply the formatting: sentence case for titles, italics where required and a full DOI link.

  4. Match it to your in-text citation and place it in alphabetical order.

All examples below are illustrative. Replace the details with your own sources.

Journal Article

Wilson, J. R., & Patel, S. K. (2022). Clinical handover practices in rural hospitals. Australian Journal of Nursing Practice, 18(2), 45–59. [DOI as a full link]

Italicise the journal name and the volume number. Do not italicise the issue number.

Book

Taylor, M. (2023). Strategic management in practice (3rd ed.). Academic Press.

Add the edition in brackets after the title when it isn't the first edition. Leave out the city of publication.

Chapter in an Edited Book

Nguyen, L. (2021). Consumer behaviour in digital markets. In A. Brown & C. Lee (Eds.), Contemporary marketing issues (pp. 112–135). Academic Press.

Web Page or Report

Australian Bureau of Statistics. (2023, June 15). Employment and unemployment overview. [URL]

When the author and publisher are the same organisation, leave out the publisher. For reports with a number, add it in brackets after the title: Title of report (Cat. no. XXX 000).

Lecture Slides and Unit Materials

Taylor, J. (2025). Week 4: Evidence-based practice [Lecture slides]. University Name. [URL]

Before using class materials as sources, check that your unit allows it.

AI Tools

AI developer. (Year). Tool name (Month Day version) [Large language model]. [URL]

Many universities restrict or require disclosure of AI use, so read your unit's AI policy first. If you're studying computer science, also check how your lecturer wants code and software cited.

Law and Accounting Students

APA is not the standard for Australian legal sources, because law schools use AGLC4. If you're in law, see our law assignment help page. Accounting students citing standards or practice sets can use accounting assignment help and Perdisco assignment help.

12 Common APA 7 Referencing Errors (and How to Fix Them)

Most lost referencing marks come from small, repeated mistakes. These are the ones markers see most often.

In-Text Citation Errors

Error 1: Using "et al." for two authors

Always name both authors: (Nguyen & Taylor, 2022). Use et al. only for three or more.

Error 2: Mixing "&" and "and"

Use "&" inside brackets and "and" in narrative text.

  • Correct: (Nguyen & Taylor, 2022)

  • Correct: Nguyen and Taylor (2022)

Error 3: Forgetting page numbers on quotes

Every direct quote needs a page, paragraph or section marker.

Error 4: Over-relying on secondary sources

Only cite "as cited in" when you truly cannot find the original. Only the source you actually read goes in the reference list.

Reference List Errors

Error 5: Wrong capitalisation

Article and book titles use sentence case, so only the first word, the first word after a colon and proper nouns are capitalised. Journal names use title case.

Error 6: Missing or broken DOIs

If a DOI exists, include it as a full link. Do not add "Retrieved from" unless the page is designed to change over time.

Error 7: Including the publisher's location

APA 7 no longer uses it. Delete the city and state.

Error 8: Reference list does not match the text

A source cited in the text but missing from the list, or the reverse, is an easy mark to lose. Cross-check both before submitting.

Error 9: No hanging indent or alphabetical order

Format this once with your word processor's paragraph settings, not with the space bar.

Formatting and Integrity Errors

Error 10: Confusing a reference list with a bibliography

A reference list includes only sources you cited. A bibliography includes everything you read. APA requires the first.

Error 11: Relying on unreliable sources

Anonymous blogs, open-edit encyclopaedias and unverified AI output are weak sources for university work. Use peer-reviewed articles, books and reputable organisations.

Error 12: Using citation generators without checking

Automatic tools often produce wrong capitalisation, missing italics and incorrect author formats. Always proofread the output.

Your APA 7 Referencing Checklist

Before You Write

  • Check your unit outline for the required style and any special rules.

  • Save full source details (author, year, title, DOI or URL) as you research.

While You Write

  • Cite as you go, so you don't miss sources later.

  • Use "a" and "b" for the same author in the same year: (Taylor, 2023a, 2023b).

Before You Submit
  • Match every in-text citation to a reference list entry.

  • Check hanging indents, alphabetical order, italics and DOIs.

  • Run a similarity check and fix any unreferenced text.

Frequently Asked Questions

Q. What is the difference between APA 6 and APA 7?

APA 7 uses "et al." from the first in-text citation for three or more authors, lists up to 20 authors in references, drops the publisher location and formats DOIs as full links. It also simplifies the student title page by removing the running head.

Q. How do I cite a source with no author in APA 7?

Move the title to the author position and use it in the in-text citation. Use a shortened title in sentence case with quotation marks for articles, or italics for books: ("Healthcare funding," 2023). If an organisation published it, use the organisation as the author.

Q. Do I need a DOI in APA 7 references?

Yes, if the source has one. Present it as a full link at the end of the reference. If there is no DOI, include the URL for online sources. Leave out both for most print books.

Q. Should my APA 7 reference list be double-spaced?

APA recommends double spacing, but some Australian universities and lecturers specify single or 1.5 spacing. Follow your unit outline or assessment guide first. Whatever you choose, keep it consistent, with a hanging indent and alphabetical order.

Q. Can I use APA 7 for Australian legal sources?

Not usually. Australian law schools generally require AGLC4 for cases, legislation and legal journals. Use APA 7 only when your lecturer instructs you to, and check the unit guide before you start.
